Privacy statement

In this statement you can read which data evads processes, why, and which rights you have.

Last updated: 15 October 2026 · Version 1

1. Who is responsible

evads processes personal data to run the platform. For data that an organiser enters in evads about their promoters and events, the organiser is responsible and evads acts as processor. For accounts, logging in and messages, we are responsible ourselves.

2. Which data

  • Name and email address (for your account and invitations).
  • Phone number, only if you switch on text messages yourself.
  • Your consents and withdrawals, with date, time and version of the text.
  • Tasks you carry out, screenshots you upload and the reviews of them.
  • Ticket sales via your personal link, points, leaderboard positions and rewards.
  • Technical data needed for logging in and security.
  • For a demo request: name, email, organisation and event.

3. For what purpose and on which basis

  • Delivering the platform (account, tasks, proof, leaderboard, rewards): performance of the agreement.
  • Email and sms about new tasks: only with your consent, separate per channel and always withdrawable.
  • Security and preventing abuse: legitimate interest.
  • Responding to a demo request: legitimate interest.

4. With whom we share data

We never sell your data. We only share it with:

  • The organisation that invited you, as far as needed for your collaboration.
  • Service providers that help us: hosting and storage, sending email, sending text messages (Twilio) and, if the organiser connects it, the ticket platform.

Agreements on security and confidentiality have been made with these parties. Some service providers may process data outside the EU; that happens on the basis of appropriate safeguards, such as EU model contracts.

5. How long we keep data

  • Account data: as long as your account is active.
  • Screenshots: as long as the edition is active; once archived, they are no longer visible to promoters.
  • Consent history: as long as needed to prove that you gave or withdrew consent.
  • Demo requests: at most twelve months without follow-up.

6. Security

Data is sent encrypted. Screenshots are stored in protected storage. Access is separated by role: a promoter only sees their own data and those of their edition, an organiser only their own organisation.

7. Your rights

You may view, correct or delete your data, restrict the processing, object and have your data transferred. You withdraw consent for email or sms yourself via Settings or the unsubscribe link in a message. For other requests, contact us; we respond within a month. If you disagree with how we handle your data, you can lodge a complaint with the Dutch data protection authority (Autoriteit Persoonsgegevens).

8. Cookies

evads only uses functional storage in your browser that is needed to log in and to remember your preferences (such as the selected edition). We do not use advertising or tracking cookies.

9. Changes

We may change this statement. The date at the top shows when that last happened.
