Behind evads

Len de Koning on promoters and founding evads

Len de Koning co-founded evads with Stijn Oorthuijsen. Through his own event, BPM Europe, Len saw how much administration is involved in working with promoters. That experience was an important reason for building a platform together that brings tasks, ticket sales and rewards into one place.

A promoter team needs clear arrangements

Promoters help bring attention to an event. They share posts, tell friends about an edition and distribute their personal ticket link. There is often a reward in return, such as free entry or drinks credit.

In practice, keeping track of those arrangements is not always easy. A question is asked in the group chat, a promise is made in a private conversation and the guest list is updated somewhere else.

For Len, this meant a lot of manual work. There was also no central overview of each promoter's contributions. That made it difficult to consistently determine who had earned which reward.

Building a solution with Stijn Oorthuijsen

Stijn recognised the same situation from STYASS. The two therefore decided to build something they could use at their own events.

Their starting point was simple: promoters should be able to see what is expected of them and what they receive in return. The organiser should be able to follow that progress.

That became evads. Within the platform, the organiser decides which tasks are available, when they must be completed and which goals are linked to a reward. This makes it possible to clarify arrangements in advance.

What a promoter sees in evads

Every promoter has their own space. It shows the available tasks, their personal ticket link and their progress towards rewards.

For example, an organiser can link a guest list spot to a number of completed tasks. Or set up another reward for selling tickets. The organiser decides which conditions apply.

The promoter submits a screenshot for completed tasks. The organiser can review it and see the recorded progress in the dashboard. This creates a clearer basis for discussing contributions and awarding rewards.

From their own use to other events

In conversations with other organisers, Len and Stijn found that their experience resonated. Manually managing promoters and lacking a clear overview were issues at other events too.

They are therefore making evads available to other organisers as well. The platform supports working with an existing promoter team and gives organisers a way of working they can reuse for future editions.

A demo for your promoter team

Want to see how your tasks, ticket links and rewards come together in evads? During a demo, Len or Stijn will show you both the organiser dashboard and the promoter's space. That way, you can assess how the platform fits your event.
